Privacy Policy
How RenoFriend handles contractor accounts, jobsite media, project records, and client-facing documents.
1. Who We Are and What This Policy Covers
RenoFriend LLC provides software that contractors use to document jobsites, create and edit Scopes of Work, build estimates and material lists, store project media, prepare proposals, collect electronic acceptance, and share project records. This policy covers RenoFriend's apps, websites, and related services. Questions or privacy requests may be sent to [email protected].
2. Information We Collect
We collect information you provide directly and information generated through your use of the platform:
- Account and company information: Name, email address, phone number, authentication records, company name, business address, logo, trade specialties, and account preferences.
- Client and project information: Client contact details, project names and addresses, notes, schedules, project status, and other information a contractor chooses to enter.
- Jobsite media and sensor data: Photos, video, microphone narration, transcripts, annotations, tags, timestamps, RoomPlan or LiDAR geometry, 3D models, dimensions, and device capability information when you use those features and grant the required permissions.
- Work product: Scopes of Work, measurements, material quantities, estimates, prices, reports, PDFs, exports, proposals, share links, and revisions.
- Proposal acceptance records: Signer-provided name and optional email, typed or drawn signature data, consent, acceptance time, a frozen copy and hash of the accepted proposal, and privacy-protective hashes derived from request information for the audit record.
- Purchase and entitlement information: Subscription product, status, renewal or expiration information, and transaction identifiers from Apple or Stripe. RenoFriend does not receive full payment-card numbers from those processors.
- Device and service information: IP address, app and device version, notification token and preferences, diagnostic logs, crash information, and feature usage needed to secure, support, and improve the service.
3. How We Use Your Information
- To create, authenticate, secure, and support your account.
- To capture, store, process, organize, annotate, and display project media and measurements.
- To generate editable Scopes of Work, material lists, estimates, proposals, reports, and exports requested by the contractor.
- To provide secure client links, electronic acceptance records, project updates, and contractor-directed sharing.
- To process subscriptions, restore purchases, and determine account access.
- To send service messages and notifications you request or that are necessary for account and project activity.
- To prevent fraud and abuse, diagnose failures, maintain reliability, comply with law, and improve RenoFriend.
4. When Information Is Shared
RenoFriend shares information only as needed to provide the service, at a contractor's direction, or for legal and security reasons:
- Contractor-directed recipients: Clients and others who receive a PDF, export, or secure link can see the information included by the contractor. Anyone with a live secure link may be able to open it, so contractors should send links carefully and revoke them when appropriate.
- Service providers: Vendors that host data, analyze contractor-submitted media, process purchases, deliver email or notifications, diagnose errors, or provide integrations receive only the information needed for that purpose.
- Connected services: If a contractor enables an integration, RenoFriend sends the selected project information to that service at the contractor's direction.
- Legal, safety, and business transfers: We may disclose information when reasonably necessary to comply with law, protect users or the service, investigate abuse, or complete a merger, financing, acquisition, or sale of assets subject to appropriate protections.
RenoFriend does not sell personal information or use it for cross-context behavioral advertising.
5. Third-Party Service Providers
We work with trusted third parties to operate the platform. These providers only access your data as needed to perform their services:
- Supabase for authentication, database services, and file storage.
- Google services for processing contractor-submitted narration, images, video, and project context to produce requested drafts and structured project information.
- Apple and Stripe for purchases, subscription status, and billing support where applicable.
- Railway for application hosting and processing.
- Email, messaging, notification, crash-reporting, and integration providers when those features are active or selected by the contractor.
6. Jobsite Media and Automated Processing
When a contractor starts a scan or requests document generation, RenoFriend may send selected narration, transcripts, images, video frames, measurements, and project context to service providers for processing. The resulting Scope of Work, measurements, material quantities, pricing suggestions, and photo assignments are drafts for the contractor to review and edit. Project media may remain available in the project's Media area until the contractor deletes it or the account, subject to backup, legal, security, and signed-record retention exceptions.
7. Client Information Supplied by Contractors
Contractors decide what client and jobsite information to enter, record, and share. The contractor is responsible for having authority to provide that information, obtaining any permission required to record people or property, and giving clients any legally required notice. RenoFriend processes that information to provide the contractor-requested service.
8. Data Retention and Deletion
We keep account, project, and media information while the account is active and as needed to provide requested features. Temporary processing files and drafts may be removed sooner. Subscription and transaction records, security logs, backups, and accepted proposal records may be retained longer when reasonably needed for accounting, fraud prevention, dispute handling, legal compliance, or to preserve the signed business record. Contractors can delete their RenoFriend account in the app. Deletion removes or de-identifies account and project data from active systems subject to those limited exceptions and backup expiration. Deleting a RenoFriend account does not itself cancel a subscription managed by Apple.
9. Your Choices and Rights
Depending on your location, you may have rights including:
- Access to the personal information we hold about you.
- Correction of inaccurate information.
- Deletion of your account and associated data, subject to the limited retention reasons above.
- Opt-out of non-essential communications.
- Control camera, microphone, photo-library, location, and notification access in iOS Settings.
- Revoke client share links and disconnect optional integrations.
To exercise a privacy right that is not available in the app, contact [email protected]. We may need to verify the request and may deny or limit it where permitted by law.
10. Cookies and Similar Technology
We use cookies and similar technologies to keep you logged in and to understand how the platform is used. We do not use third-party advertising cookies. You can control cookies through your browser settings, though disabling them may affect platform functionality.
11. Security
We use technical and organizational safeguards intended to protect personal information, including encrypted transmission and account-based access controls. No service is completely secure. Protect your password and secure links, and contact us promptly if you believe an account or link has been compromised.
12. Children's Privacy
RenoFriend is not intended for users under 18. We do not knowingly collect information from minors.
13. United States Processing
RenoFriend is operated from the United States. Information may be processed in the United States and other locations where our service providers operate, subject to applicable safeguards.
14. Changes to This Policy
We may update this policy as the platform evolves. When we make material changes, we'll notify you by email or by displaying a notice on the platform. Continued use of RenoFriend after changes take effect constitutes acceptance of the updated policy.
